2. Current work and work groups

A. Web group

Participants: Peder Andrén, Susanne Danelius, Go Sugimoto, Wim van Dongen, Kerstin Muff, Daniel Jeller, Elizabeth McEvoy, Silke Jagodzinski and Lucile Grand.

Current work: After setting up the APEx project website (May 2012, D7.1), the work to develop the site has been continued by this work group. Topical issues at the moment include for instance how to structure documents in the “Partner area” > “Team workspaces” and if it would be possible to set up a mailing list functionality.

Special functions within the Web group:

Susanne Danelius: Webmaster and responsible for graphical design. Handles the lay-out aspects of, adapts (according to requests made by the Web group or directly by Peder Andrén) and puts material into the website.

Wim van Dongen: Back up for Susanne Danelius as Webmaster.

Peder Andrén: As WP7L main responsible for all mentioned information channels. Should give approval to flyers, posters, News Bulletins etc before printing/sending out.

B. Editorial group (former Web editorial group)

Participants:Peder Andrén, Susanne Danelius, Kerstin Muff, Daniel Jeller, Elizabeth McEvoy, Go Sugimoto, Vanja Pfajfar, Silke Jagodzinski and Thomas Aigner. Editorial manager: Kerstin Muff.

Current work: The first task of the Editorial group was to put introductory and informative texts in the APEx project website; the work now covers also the day-to-day editorial updates.

Special functions within the Editorial group:

Kerstin Muff: Editorial Manager. Produces texts for the website, flyers and posters. Puts together the content of the News bulletin based on reports made by the WPLs. Comes up with lay-out suggestions for the mentioned information channels. Can put up new threads and start and update articles on the website forum. As content apart from that is to be put into the website, this is done by Susanne Danelius; the request should then be followed with clear instruction on “what?”, “when?”, “how?”, and a reference to how the decision is anchored.

Susanne Danelius: Webmaster and responsible for graphical design. Handles the lay-out aspects of, adapts (according to requests made by the Editorial Manager, the Editorial group or directly by Peder Andrén) and puts material into the website. Handles the lay-out aspects of flyers and posters and the News Bulletin. In case suggestions on lay-out have been made on flyers, posters and New Bulletin, they should be cleared by SD.

Daniel Jeller: Back up for Kerstin Muff as Editorial Manager.

Wim van Dongen: Back up for Susanne Danelius as Webmaster.

Peder Andrén: As WP7L main responsible for all mentioned information channels. Should give approval to flyers, posters, News Bulletins etc before printing/sending out.

C. Events group (former Action Plan/Pisa group)

Participants: Peder Andrén, Thomas Aigner, Kerstin Muff, Elizabeth McEvoy, Go Sugimoto, Zsófia Komlósi-Gera and Silke Jagodzinski.

Current work: When this work group was set up, its first task was to put together an Information and Dissemination Action Plan which is WP7’s second deliverable, which was finished on 31 August 2012. The plan will however be a living document so revisions and updates will follow. The group is also working on setting up workshops and conferences. A workshop in Pisa for country managers will take place in Pisa on 28-29 January 2013. The first APEx conference will take place in Dublin on 26-28 June 2013.

Special functions within the Events group:

Conference committee, Dublin: Thomas Aigner, Kerstin Muff and Elizabeth McEvoy. Is in charge of planning and organising the APEx conference in Dublin 26-28 June 2013.

Peder Andrén: As WP7L main responsible for all events, hand-books and major WP7 reports. All major decision on conferences and other events should be cleared with MGW, as should the final versions of hand-books and major WP7 reports.

D. LMS group

Participants: Peder Andrén, Susanne Danelius, Thomas Aigner, Kerstin Muff, Daniel Jeller, Go Sugimoto, Anna Koulikourdi, Anna Krochmal, Fernando Vicente and Koit Saaravet.

Current work: The setting up of a Learning Management System in the APEx project website plays a highly important part in the efficient dissemination of the Archives Portal Europe. It has however had to wait until the APEx project website was set up. The first meeting with the LMS group will take place on 21 August but the members have already prepared by studying other LMSs (for instance in archival institution, library and university homepages).

Special functions within the LMS group:

Koit Saarevet: LMS editor. Puts prepared material into the LMS and takes care of that it’s presented in a logical way (which might imply the writing of additional texts that function as “bridges” between the different elements in the LMS).

Susanne Danelius: adjusts the design aspects.

Daniel Jeller: Back up for Koit Saarevet as LMS editor.

Peder Andrén: As WP7L main responsible for the LMS. Should therefore approve any changes in it (apart from smaller adjustments like for instance corrections of misspellings or in contact lists).

E. Conference and editorial committee

Participants:Peder Andrén, Thomas Aigner, Anna Koulikourdi, Anna Krochmal, Silke Jagodzinski and Angelika Menne-Haritz.

Tasks: Going through and review the papers submitted for the APEx conferences 1) to assess their relevance for the conferences and forward these assessments to the Events group and the respective conference committees and 2) to trace what could be developed into articles for an Archives Portal Europe anthology.
