Local Data Preparation Tool

In order to provide seamless access to the various archival resources held throughout Europe, the data presented in the Archives portal Europe have to be homogenized and converted from the local formats of the different institutions or countries to the APE formats defined within the project. For more information on these archival standards and their use, please refer to the section "Outcomes - Standards".

The tool downloadable here enables each partner to create, edit, check and or convert his/her data before integrating them in the portal. Furthermore, all archival institutions interested in a future participation within the Archives Portal Europe can locally try their data against the archival standards as used in the portal with this tool.

This tool can be used in different ways to achieve various objectives. Most of the functionalities described below are independent from each other:

  • check that the EAD, EAG or EAC-CPF files produced by your institution are compliant with the respective standards;
  • convert your files to APE EAD, using your own XSLT style sheet or the default one;
  • create a simple holdings guide based on your finding aids;
  • create an EAG file to describe your institution;
  • create ESE/EDM files for Europeana.

Before using the tool, we recommend you to read the manual. The tool is currently available in Dutch, English, French, German, Greek and Hungarian. The manual is available in English and in German.

Requirement: in order to use the standalone tool, you need to have JAVA 6 or higher installed on your computer. You can verify which version is installe on your computer by launching the command line (Windows) or terminal (Linux) and typing: java -version.

This tool is open source and at your disposal, however,

  • developed under a project funded by the European Commission, this tool is submitted to a European Union Public License.
  • if you encounter some errors or problems in using it, we thank you to report them via the contact form of the Archives Portal Europe.

OAI-Harvester Tool

The OAI Harvester Tool is a standalone tool that you can easily install on any computer. It has been developed to enable you to:

  • test the access to your OAI-PMH repository in case you want to contribute to the Archives Portal Europe via OAI-PMH harvesting
  • harvest the whole content of your OAI-PMH repository to test it in the Archives Portal Europe, because the automatic harvesting function of the Content Checker limits the harvest to the first ten records of any set of your repository

This OAI Harvester Tool is also used by Europeana to harvest our Archives Portal Europe data

The tool works just like the harvester included in the back-end of the portal, with some more options. Basically, it follows the OAI protocol that is based on an exchange of questions and answers between the harvester and the repository.

Requirement: in order to use the standalone tool, you need to have JAVA 6 or higher installed on your computer. You can verify which version is installe on your computer by launching the command line (Windows) or terminal (Linux) and typing: java -version.

You also need an internet connection to actually harvest data from a repository

Custom search widget

If you want to have the widget search specifically in your own institution or in your own country, or add other parameters, here's how:

  • First, create an account in Archives Portal Europe
  • Make the search
  • Save the search
  • Open the settings for the search and check "public" and "template". This makes it available for public use.
  • Copy the ID of the search and paste it into the code below:
